PREPARING FOR TRAVEL REIMBURSEMENT

We have simplified the process in a few easy steps

YOUR last day

of work

  • Per H2B regulations, you are eligible for travel reimbursement only if you fulfills your agreement with your employer.

​​

  • The amount you must be reimbursed for is the equivalent of the most economical and reasonable cost of transportation during the approved travel interval

​

  • Please ask your employer what your last date of work is and when it is OK for you to travel home (travel interval)

​​

  • You may not leave after the expiration date as shown on your I-94 form

​​

  • You may not leave without your employer's permission. Leaving early is considered resignation.

​​

  • If you resign, you are not eligible for transportation reimbursement

BUY YOUR TICKET

(online research)

  • Once you know your travel interval, you may now proceed with buying your ticket

​​

  • Once you have purchased your ticket, please provide your employer with a copy of the receipt

​

IMPORTANT

​

Please make sure you buy tickets on airlines which fly through countries where you do not need a visa to enter (this applies usually to citizens of South Africa. 

 

You may use any website to research for flights, but when you buy the ticket you should buy it on the airline's website.  

 

Stay away from cheap websites where you will not have customer service support in case something happens (cancelled flights, delays, etc.)

reimbursable amount

  • Your employer will conduct its own online research to determine what the most economical and reasonable cost of transportation will be during your approved travel interval (same which was communicated to you in Step 1).

  • Your employer will then communicate the reimbursable amount to you via email and will include a copy of the ticket it found (and which should show the price).

receive reimbursment

  • The reimbursable amount will be given to you with your last paycheck; it may be added to your paycheck or it may be given to you as a separate check

  • Please check the amount to make sure it is the amount communicated to you at Step 3

EXAMPLE 

​

(amounts below are  hypothetical and do not represent actual costs)

​

If you buy your ticket for $575, but the employer communicates to you that the reimbursable amount is $500 (based on its own independent research), you will receive $500 as reimbursement; the balance will be your responsibility. 

​

If you buy your ticket for $575 but the employer communicates to you that the reimbursable amount is $600, you will be reimbursed for the full amount
